What does a custom AI chatbot cost for your business, and does it pay off?
Almost every entrepreneur who sits down with us in the Utrecht region asks the same question: what does an AI chatbot really cost, and do I get that back? Honest answer: prices vary enormously, from a few hundred euros for a simple FAQ bot to tens of thousands for an assistant that genuinely runs on your own business data. The difference is not in a good sales pitch, but in what the bot can do and whether it knows your own knowledge. On this page we explain which types exist, what to expect per type in terms of investment, and when it pays off. No sales talk, just so you can make a good decision.

Why this question matters now
AI is no longer a hype you can wait out. According to Statistics Netherlands (CBS), in 2025 already 29.8% of Dutch SMEs (companies with 10 to 249 employees) used at least one AI technology, compared with 22.7% of larger companies a year earlier (source: CBS, 2025 and 2026). For the smallest companies (2 to 9 employees) it was 13.8%, a rise of more than 3 percentage points in a single year (source: CBS, micro-business report, 2026). The direction is clear: your competitor is starting, or already busy.
A customer-service chatbot is the logical starting point for most SMEs, because the gain is measurable: fewer repeat questions in your inbox, faster answers for your customer, also outside office hours.
An AI chatbot is not a digital receptionist reading out scripts. It is a colleague who knows your manuals, quotes and frequently asked questions by heart and answers them 24 hours a day.
The three types of chatbot (and why the price differs so much)
The biggest misconception is that 'a chatbot' is one thing. There are roughly three types, and the price literally differs by a factor of ten between them.
1. The rule-based FAQ bot
This is a menu in chat form. The customer clicks a question, the bot gives a fixed answer. No real AI, no understanding of language. Cheap and quick to launch, but the moment a customer asks something that is not in the menu, it gets stuck. Fine for a handful of standard questions, frustrating once things get more complicated.
2. The generic AI chatbot
This runs on a language model (like the one behind ChatGPT) and understands free text. It speaks fluently, but it does not know your company. Ask it about your return policy or delivery times and it guesses, or makes something up. Usable for general questions, risky for company-specific ones.
3. The AI chatbot on your own data (RAG)
This is where it gets interesting. With a technique called RAG (retrieval-augmented generation) we connect the language model to your own knowledge: your website, manuals, price lists, frequently asked questions. The bot first looks up the right answer in your documents and then phrases it in clean language. It invents nothing, it draws on what you gave it. This is the type that genuinely takes work off your plate.
If you want a chatbot to say what your company really promises, it has to know your documents. A bot that does not run on your own data guesses, and guessing costs you customers.
What does it cost? Indicative price bands
Below are our own indicative guide prices as DSTRCT, based on what an SME project asks for in practice. See it as a reference, not a quote: the real price depends on how many knowledge sources, integrations and languages you need.
- Simple FAQ bot: a one-off of a few hundred to a few thousand euros. Quick to launch, limited in what it can do.
- AI chatbot on your own data (RAG), without integrations: usually a one-off build in the low five figures, plus monthly costs for hosting and running the AI model.
- Each integration (your webshop, CRM, calendar, inventory system) raises the investment, because custom integration work is involved.
- Monthly costs consist of two parts: fixed hosting/maintenance and variable AI usage costs (you pay a small amount per conversation to the underlying model). For an average SME volume those usage costs usually stay modest.
Important: a chatbot is not a one-off product you set up somewhere and forget. It needs maintenance: adding new information, refining answers, watching what customers ask. Count on an ongoing but limited budget.
When does it pay off?
The sum is simpler than you think. Add up how many hours a week you or your team spend on the same repeat questions: opening hours, delivery times, quote status, 'can I return this'. Every hour a chatbot takes over is an hour that goes to real work.
CBS shows that in 2025 micro-businesses used AI most often for marketing and sales (32.7%) and for administrative processes (25.9%) (source: CBS, micro-business report, 2026). Those are exactly the places where a chatbot or AI assistant removes hours. The payback is not in magical revenue growth, but in time that frees up and in customers who still get an answer at nine in the evening instead of dropping off.
Do not count on what the chatbot costs, but on what it costs you to keep answering the same fifty questions every week without one.
The EU AI Act: what to watch out for
One thing often forgotten: your chatbot has to comply with rules. Since February 2025 an AI literacy obligation applies within the EU, meaning that people who work with AI in your company must have sufficient knowledge of the possibilities and risks (source: EU AI Act, European Commission). And from 2 August 2026 the transparency obligations become enforceable: a customer must clearly know they are talking to a chatbot, not a human (source: EU AI Act). The good news is that most customer-service chatbots fall under 'limited risk', so you do not need heavy audits, just that transparency in order. We build that in as standard.
